Context

AlphaSights is a global knowledge search platform that connects clients with industry experts, consultants, and professionals across various fields to provide insights and expertise on specific topics. The platform enables clients to access on-demand consultations, market research, and other tailored services to support decision-making and problem-solving in their businesses.

While conducting research to uncover pain points within the internal platform, I noticed a recurring issue among associates. Although this problem wasn't initially within my contracted responsibilities, I seized the initiative to persuade the product owner of its significance and advocated for its resolution

Problem

Associates face significant challenges when scheduling meetings between advisors and clients across different time zones due to the global nature and scale of our organization. With offices spanning Hong Kong, Dubai, New York, Berlin, and London, coordinating suitable meeting times becomes increasingly arduous.

These challenges give rise to several issues:

  1. Time-consuming coordination: Associates spend considerable time deciphering time zone differences to arrange meetings efficiently.

  2. Increased rescheduling: The complexity of scheduling across time zones has led to a rise in meeting reschedulings, negatively impacting client and advisor satisfaction.

  3. Error-prone process: Existing scheduling applications like Outlook often lack features to display current times across multiple time zones, requiring users to manually calculate differences in separate tabs before returning to the calendar, introducing the potential for errors.
